Where can I find rules and regulations for exhibitors?

Where do I check in and pick up my conference materials?
Exhibitors and consultants check in and pick up name badges at the Vendor Registration Desk located outside of Prince George's Exhibition Hall B. Vendor registration opens on Sunday at noon, so badges can be picked up for the Opening Reception held Sunday evening from 7:00 p.m. – 9:00 p.m. See the exhibitor schedule for complete Vendor Registration Desk hours.

Where do I need to wear my name badge?
Name badges are required to gain access to ALL ILTA SESSIONS, the EXHIBIT HALL and ALL NETWORKING EVENTS. Lost badges will not be replaced.

When can I begin setting up my booth?
The Exhibit Hall (Prince George's Exhibition Halls A, B and C) will be open for booth setup on Sunday from noon – 6:00 p.m. and Monday from 8:00 a.m. – 4:00 p.m. GES will be onsite to assist with setup. Teardown is on Thursday from 1:00 p.m. – 6:00 p.m.

Is there an informational meeting for exhibitors upon arrival?
Yes - please join us on Monday from 2:00 p.m. – 5:00 p.m. for our annual vendor meetings and reception. Peggy Wechsler, Program Director and Vendor Liaison of ILTA, will discuss conference activities and current ILTA news. We will also report on the annual ILTA Technology Purchasing Survey (responses provided by ILTA members). The business meeting will be followed by a vendor educational program in conjunction with InsideLegal.

Where can I view dimensions, layouts, etc. of conference/meeting rooms?

Can I plan a private networking event?
Wednesday night is available for private vendor networking events. If you wish to have a private event at any time during the conference, please contact Peggy Wechsler to discuss dates and event space availability. Please use this space request form to submit your formal request if you plan to host an affiliate event on property during the conference.

How do I order Exhibit Hall services?
GES Exposition Services is the official service contractor for the Exhibit Hall. GES will send you an exhibitor service kit with information on ordering equipment, phone service, Internet access, cleaning services and more at least 45 days prior to the conference by GES (800.475.2098).

Can I attend ILTA networking events?
Exhibitors and consultants are welcome to join in the fun and network with attendees. Take a look at scheduled networking events. Please note that meals and evening events may require tickets to attend. Tickets are available for purchase. You may also sign up for our recreational events.

Can I attend the educational sessions?
Exhibitors and consultants are welcome to attend all educational sessions with the following caveats:
  • While we don't restrict attendance at sessions, we do ask that you allow our member registrants priority in seating. Many of them register for conference based on the content of these sessions.
  • Speakers have the right to request that no vendors be in the room during their presentation. Those sessions will be flagged as "Closed to Vendors."
  • We ask that you turn off (or set to vibrate) all cellphones and other noise-making devices during all sessions.
Are meals included in my registration package?
Meal tickets must be purchased. Any tickets purchased before conference will be included in your company's registration packet. Tickets are color-coded for each day's meals and social events, and they are good only for the ILTA-sponsored meal/event printed on the ticket. You MUST present a ticket to be served. Gratuities are included. Tickets are NOT redeemable for food or drink purchases on property outside of the designated event. Meal tickets are available for purchase, and you'll be able to purchase them onsite at the ILTA Vendor Registration Desk. ILTA accepts most major credit cards, checks and cash.

How will I know about any changes or announcements during the conference?
The "ILTA GLOBE," our conference newsletter, will be available at breakfast each morning of conference. It will contain any schedule changes, ILTA news and announcements. This information will also be provided via Twitter (#ILTA2012) and the ILTA 2012 mobile app (coming in July).

What's the dress code?
Jackets, ties and dresses are definitely NOT on the agenda. Prepare for a great networking experience in a casual atmosphere. If you plan to dine at the hotel's restaurants outside of ILTA activities, please inquire with the hotel as to proper attire in their facilities. Be comfortable!

How can I tell if someone is with ILTA?
Conference attendees, exhibitors, consultants and press are all required to wear their name badges at all times. ILTA officers, conference committee members, ILTA staff and conference speakers will be identifiable by colored ribbons on their badges. Please contact those individuals if you need assistance during the conference.

There is a minor in my group. Are they allowed at the conference?
It is our policy that no minors are allowed in any conference event or venue that is provided by ILTA: the exhibit area(s) and/or product demonstration venues, meals, social events, receptions and educational sessions.

Is smoking allowed?
Smoking is prohibited in all session rooms and exhibit areas at all times.
